What does Autopilot Solutions do?

What is an AI agent, and how is it different from a chatbot?
A chatbot serves pre-written menu responses; it's essentially a decision tree. An AI agent holds real conversations. It understands context, qualifies leads, handles unexpected questions, and knows when to escalate to a human. It sounds like a trained team member because it's responding to what the person actually said, not routing them through a menu.
Can your AI answer my business calls?
Yes, and this is one of the most impactful things we build. We use Retell AI with Twilio to deploy voice agents that answer every inbound call, including after 5pm, on weekends, and during your busiest periods. The agent qualifies the caller, answers common questions, and either books a consultation or collects their information for follow-up.
Can your system book appointments automatically?
Yes. Once a caller or web visitor qualifies, the system checks calendar availability, offers time slots, confirms the booking, and sends reminders at 24 hours, 2 hours, and 15 minutes before the call. If they don't show, the no-show recovery sequence fires automatically. None of this requires your team to touch it.
Can you follow up with missed calls, leads, or web forms?
Yes. Missed calls trigger an automatic text-back within 60 seconds. Web form submissions get an email and SMS immediately. If the person doesn't book, the system follows up at 2 hours, 24 hours, day 5, and day 10. All automated. Speed-to-lead is one of the highest-leverage improvements we make for most clients.
Do you build custom solutions or use fixed packages?
Both. We have a proven core stack (voice agent, follow-up automation, booking, onboarding system) that we deploy for most clients. On top of that we customize to your specific tools, processes, and industry. You're not paying for us to reinvent the wheel. You're paying for proven systems adapted to your business.
Do you integrate with my existing tools?
In most cases, yes. We use n8n as our integration layer, which connects with most CRMs, calendar tools, and phone systems. Twilio and Retell are our primary voice and SMS stack. GoHighLevel, HubSpot, and Salesforce are the CRMs we integrate with most often. Salesforce is supported. If you're already using any of these, we work with what you have wherever possible rather than asking you to switch platforms. We confirm compatibility in the discovery call. If there's a gap, we tell you upfront so there are no surprises mid-build.
How long does setup take?
Most clients are fully live within 2 to 4 weeks. Week one is intake and kickoff. Week two the core systems are built. Week three we test and QA everything. Week four you're live and your team is trained. Most clients start seeing results before the full build is done because we launch the highest-impact systems first.
What do you need from us to get started?
A completed onboarding form that takes about 15 minutes. It covers your business details, call handling rules, your most common customer questions with approved answers, your booking process, and access to your current tools. Once we have that, we handle the build. You're not doing the heavy lifting.
How much does it cost?
Pricing depends on the type of automation, the channels involved, the level of customization, and the support needed, including whether there's a setup fee, monthly management, or both. It varies enough by business that one of our owners goes over it after a consultation, that way the recommendation is accurate for your specific situation. The consultation is free and takes 30 minutes.
Will this replace my staff?
No, and we're direct about this. AI handles what's repetitive, time-sensitive, and volume-dependent: answering at 2am, following up within 60 seconds, collecting intake information, booking calls. What happens if the AI can't handle something?
The agent is built to handle knowledge gaps gracefully. When it encounters a question outside its knowledge base, it doesn't guess. It tells the caller it wants to make sure they get accurate information, collects their details, and either transfers to a live person or sends a summary to your team for follow-up. If a human is genuinely needed (escalations, complex requests, upset callers, or whenever the caller asks), the agent hands off immediately with context so the person receiving the transfer already knows what the call is about. Nobody gets a dead end.
